Foundation Socires is based in the Netherlands and registered with the Chamber of Commerce under KvK number 27187336 . Socires is aGeneral Useful Institution (ANBI).
We are responsible for the processing of personal data as shown in this statement.
 

1. Personal data we process

We process personal data by using our services, making a donation or providing it to us ourselves.
Depending on your relationship with Socires we can process the following data:

Single and multiple donations

  • First and last names
  • Email address
  • Address details (if provided)
  • IBAN or other payment details
  • Donation amount and date

Periodic doses (minimum five years)

  • First and last names
  • Address details
  • Date of birth
  • IBAN
  • Grant agreement signed
  • Citizens

Patron, Fund by Name or estate

  • Contact details
  • Notification
  • Deals on spending
  • Testamentary information, if any

Newsletters, invitations

  • First and last names
  • Email address
  • Organisation/company (if any)

Other information

  • Telephone number (if provided)
  • Place of birth (if provided)

Special personal data

We only process special personal data if strictly necessary, such as:

  • Citizens' Service Number (BSN), We only process the BSN if required by law, for example in a periodic donation agreement in accordance with tax regulations.

 

2. Purposes of processing

We process your personal data for the following purposes:

  • Processing and administering donations or gifts
  • Implementing donation agreements
  • Compliance with legal and fiscal obligations
  • Maintaining contact about your involvement in Socires
  • Sending invitations to our meetings
  • Sending publications or information, if applicable

Socires makesnoneuse of automated decision-making.

 

3. Basis

We process personal data based on:

  • Implementation of an agreement(for example, your gift or gift agreement)
  • Legal obligations(such as tax retention)
  • Authorisation(for our mailing list. You can always withdraw it)
  • Legal interest(such as relationship management, informing existing donors about our activities, or securing our systems).

 

4. Sharing personal data with third parties

We only share personal data when this is necessary for our services or to comply with legal obligations.

This includes:

  • Payment service providers (such as Mollie)
  • Accountant or administration office
  • IT service providers (hosting, security, e-mail)
  • Notary (in the case of inheritance, if applicable)

With parties processing your data we close aProcessor agreement.

5. Storage periods

We do not store your personal data longer than necessary for the purpose for which they were collected.

  • Tax data & donation administration:7 years(legal retention)
  • Grant agreements:maturity agreement + 7 years
  • Other contact details:up to 24 monthsunless they are part of a tax administration
  • Newsletter information: until you unsubscribe

If legal rules require a longer retention period, we comply with them.

 

6. Security of personal data

Socires take appropriate technical and organisational measures to prevent abuse, loss, unauthorised access and unwanted disclosure. Access to personal data is only allowed for employees for whom this is necessary.

For verification, we may ask you to send a copy of an ID. Take your passport photo, MRZ, passport number and BSN black.

We react inside4 weeksat your request.

8. Cookies

Foundation Socires uses functional and analytical cookies. Functional cookies are needed to make the website work properly. In addition, we use Google Analytics analytical cookies to gain insight into the use of our website.

  • We use these statistics only to improve our website
